Registration Terms & Conditions

Please read these terms before registering. By confirming your registration you accept them.

1. Organiser

FES2027 — the 3rd International Conference on Future Energy Solutions, 12–14 July 2027, Casa Diocesana, Málaga, Spain — is organised by NOWOCERT LIMITED, Grangegorman Lower Smithfield, 2C, D07 K46Y, Dublin, Ireland, VAT ID IE4393577SH (“the Organiser”). Contact: info@fesconference.com.

2. Registration and contract

Submitting the registration form and confirming the review step is a binding registration. An invoice is issued immediately and emailed to you. Your place is confirmed when full payment has been received; we confirm receipt by email.

3. Fees and VAT

All fees are in euro (EUR) and include 21% VAT. Early Bird rates apply to registrations submitted on or before 28 February 2027, 23:59 (Madrid time); later registrations are charged Late rates. The rate is fixed when the invoice is issued. Unpaid Early Bird invoices may be cancelled after the due date and reissued at the rate valid at that time.

4. Author registrations and papers

Every paper accepted for presentation must be covered by a paid “with paper” registration of at least one author, received by 30 April 2027, and presented in person at the conference by an author. One registration covers one paper of up to 10 pages. Each additional paper costs €200 and each page above 10 costs €10. One registration can cover a maximum of 3 papers. Papers not covered by a paid registration by 30 April 2027, or not presented in person, may be excluded from the proceedings.

If the final number of pages of a paper is higher than declared, the difference is invoiced separately.

5. Student rates

Student rates require proof of student status (student ID or supervisor letter) valid on the registration date. If the proof is missing or cannot be accepted, the Organiser may invoice the difference to the corresponding Regular rate.

6. Payment

Payment is by bank transfer in EUR within 14 days of the invoice date, quoting the payment reference shown on the invoice. All bank and transfer charges are paid by the sender (OUR); amounts received short are invoiced separately. Our accounts can only receive transfers from banks in the countries listed during registration.

7. Invoices and corrections

Invoices are issued exactly with the name, address and VAT ID entered in the form. Issued invoices cannot be edited or deleted; corrections are made by a credit note and a new invoice, on written request within 30 days of the invoice date.

8. Cancellation and refunds

Cancellations must be sent in writing to info@fesconference.com. Refunds:

  • On or before 28 February 2027: full refund minus a €50 administration fee.
  • 1 March – 31 May 2027: 50% refund.
  • From 1 June 2027, or no-show: no refund.
  • Author registrations: no refund once the paper covered has been submitted for publication in the proceedings.

Refunds are paid by bank transfer to the paying account within 30 days; bank charges are deducted.

9. Substitution

A paid registration can be transferred to another person in the same category free of charge until 30 June 2027, by written request. For author registrations, the substitute must be an author of the paper covered.

10. Visa invitation letters

Invitation letters are issued only to registered participants after full payment. They do not imply any financial support. If your visa is refused, send the official refusal document to info@fesconference.com before 12 July 2027: we will refund the fee minus the €50 administration fee, provided that no paper covered by the registration has been submitted for publication.

11. Changes or cancellation by the Organiser

The Organiser may change the programme, speakers, or venue if necessary. If the conference is cancelled by the Organiser, registration fees are refunded in full. If the conference must be held online or postponed because of circumstances beyond the Organiser’s control (force majeure), registrations remain valid for the new format or date.

12. Liability and insurance

The Organiser is not liable for travel, accommodation or visa costs, or for any loss beyond the registration fee paid, except where liability cannot be excluded by law (for example for death or personal injury caused by negligence). Participants are responsible for their own travel and health insurance.

13. Photography and recording

The conference may be photographed and recorded for documentation. Images in which you are identifiable are only published if you gave your optional consent in the form; you can withdraw it at any time.

14. Code of conduct

All participants are expected to behave respectfully and professionally. The Organiser may refuse or end participation, without refund, in case of harassment or serious misconduct.

15. Consumers

If you register as a consumer, the 14-day right of withdrawal does not apply to services related to leisure activities provided on a specific date (Article 16(l) of Directive 2011/83/EU); the cancellation terms in section 8 apply instead. Mandatory consumer rights under the law of your country remain unaffected.

16. Data protection

Personal data is processed as explained above and in our Privacy Policy.

17. Governing law

These terms are governed by the laws of Ireland. Last updated: 25 October 2026.
